Hi June,
How are you these days? Long time no see since your transfer to Account Department. I just received a complaint letter complaining our exhibition Sound Systems 2011. Since you handle these type of problem very well at the time you still in our department, I think you are the best person that I can seek help.
The complainant complained on three areas. (1) He found difficulties to register in our on-line registration system. (2) The venue is overcrowded and (3) There was not enough leaflets.
I'm not sure how I can best satisfy him. Can you give me some advice? Many thanks.

Subject: Request approval for SSE 2011 complain adjustment
Dear Ms Kong,
I received a complaint letter on 10th March. I am writing to summarise the key points and request for the approval of adjustment.
The complainant complained on three areas.
1) On-line registration system overload
The complainant complained that there was a difficulty for him to register in our on-line registration system. This is due to the limited capacity of the server. For future events, I suggest that we can reserve larger budget for hiring extra internet capacity.
2) Over-crowded venue
Secondly, he complained that the venue was too small, particularly at peak times. The venue is the largest venue in Hong Kong which provides sufficient sound proving and electricity support. I suggest that we can distribute the man flow by extending the exhibition by two days. This will cost us more, but it provides better environment to our customers and visitors and they will be willing to pay more for the rent and entrance fee.
3) Lack of leaflets
Third, he complained that there was not enough leaflet for him. As the leaflet is provided by the product producer, I suggest we should not accept this complaint.
As compensation, I suggest that we can offer the complainant two one-day-pass of our SSE 2012 and list of producers' contact so that he can contact the relavant producers.

Re: Issues about Sound Systems Exhibition 2011
I am writing on behalf of Exhibitions International to apologise for the matters you mentioned in your letter dated 10 march 2011. We have investigated the matters and would like to report the following facts to you.
First, concerning the over-load of our on-line registration system, the problem was caused by the low capacity of our server. In future, we will hire higher capacity and make sure this will not happen again.
Second, the overcrowding problem was caused by the limited space of the venue. This venue is the largest suitable venue in Hong Kong already. So, we will extent the exhibition for 2 days in the next year to ensure every visitor has a better visiting environment.
Finally, related to the leaflet, I am sorry to tell you that we could not accept this complaint. This is because that the leaflet is provided by the producer of the product but not Exhibitions International. The attached file contains the contact information of the producers in this exhibition. You can contact the relevant producers and obtain the required information.
I hope you will find the above arrangements are satisfactory. As a compensation for the imperfect visit experience, we would like to give you two one-day-pass of our Sound Systems Exhibition 2012.
